1. Eligibility and Registration

Airlines must meet all of the following criteria:

• Holder of a valid Air Operator Certificate (AOC) issued by a national aviation authority
• Legally established entity in the EEA, United Kingdom, or a country with a bilateral aviation agreement with the EU
• Registration must be completed using a corporate email address from the airline's official domain. Free email providers are not accepted.

We reserve the right to request proof of AOC and to reject registrations that do not comply with the above criteria.

2. Authorised Use

Platform access is granted for the sole purpose of:

• Searching and reviewing profiles of cabin crew candidates who have enabled visibility
• Verifying professional credentials and documents of candidates
• Contacting candidates regarding genuine employment opportunities
• Managing the airline's profile and open position listings

3. Access to Candidate Profiles

You may only view profiles of candidates who have set their availability status to visible. Profile data accessed through the platform may be used solely for recruitment purposes. You may not:

• Store candidate data beyond the duration necessary for the recruitment process
• Share candidate data with third parties (e.g. staffing agencies, contractors) without the candidate's explicit written consent
• Use candidate data for any purpose unrelated to direct employment

3.1 Limitation of Liability Regarding Document Authenticity

Candidates are contractually required by EUCCDB.EU to declare that all documents they upload, including Cabin Crew Attestations (CCA), are genuine, unaltered, and were issued directly to them by the stated authority. EUCCDB.EU presents documents as declared by the candidate and applies basic format checks where feasible.

However, EUCCDB.EU does not independently authenticate documents with issuing authorities and cannot guarantee the authenticity of any document on the platform. The airline remains solely and exclusively responsible for conducting its own verification of any CCA or other regulatory document, including direct confirmation with the issuing national Civil Aviation Authority, before making any hiring, rostering, or operational decision based on documents viewed on the platform. Reliance on platform documents without independent verification does not constitute a defence against regulatory non-compliance.

If the airline suspects a document displayed on the platform is falsified or fraudulent, it must report this immediately to [email protected] and, where a regulatory document is involved, to the relevant national aviation authority.

4. Data Protection Obligations

Airlines access candidate personal data as an independent data controller. You are solely responsible for:

• Identifying and documenting a valid legal basis (Art. 6 GDPR) for any processing of candidate data
• Providing candidates with a privacy notice as required by Art. 13/14 GDPR before or at the point of processing
• Complying with requests from candidates to access, correct, or erase their data
• Implementing appropriate technical and organisational security measures for any data held outside the platform
• Retaining candidate data only as long as necessary and deleting it when a recruitment process concludes

Where processing constitutes joint controllership or requires a Data Processing Agreement under Art. 28 GDPR, the parties shall negotiate and execute such agreement in good faith.

5. Contacting Candidates

When contacting a candidate through the platform:

• All communications must relate to a genuine, specific employment opportunity
• You must identify the airline and the role clearly in initial contact
• You may not send unsolicited marketing or bulk messages
• You must honor any candidate request to cease contact

6. Non-Discrimination

Airlines must comply with all applicable anti-discrimination legislation, including EU Directive 2000/43/EC (equal treatment regardless of racial or ethnic origin) and Directive 2006/54/EC (equal treatment of men and women). You may not filter, exclude, or reject candidates on the basis of race, nationality, sex, age, religion, disability, or any other protected characteristic except where a genuine occupational requirement applies and is permitted by law.

7. Prohibited Conduct

Airlines may not:

• Use the platform to collect candidate data for profiling, aggregation, or sale to third parties
• Automate bulk extraction or scraping of candidate profiles
• Misrepresent open positions or recruiting intentions
• Contact candidates for purposes other than recruitment
• Circumvent visibility or consent settings
• Use the platform in any manner that violates aviation safety regulations or employment law

8. Accuracy of Airline Information

You warrant that your AOC status, base locations, and any open position details published on the platform are accurate and kept up to date. You must remove or update listings within 7 days of a position being filled or withdrawn.

9. Fees and Subscription

Standard access is charged at €149/month (billed monthly) or €1,290/year (billed annually). We reserve the right to change subscription pricing with 30 days' written notice. Failure to pay subscription fees may result in access suspension. No refunds are issued for partial billing periods unless required by applicable consumer protection law.

Founding Member Programme

The first 5 airlines to register ("Founding Members") benefit from the following rate structure:

• Months 1 to 12: Free of charge. No payment information required.
• From month 13 onwards: Standard rate of €149/month or €1,290/year applies. You will receive a minimum of 30 days' written notice before the standard rate takes effect.

Founding Member status is granted at registration and is non-transferable. EUCCDB.EU reserves the right to close the Founding Member Programme once 5 qualifying airlines have registered.

You may cancel at any time before the end of a billing period. No refunds are issued for partial months already billed.

10. Intellectual Property

All platform software, design, and content are the property of EUCCDB.EU. Candidate profiles and documents remain the property of the respective candidates. No licence is granted to reproduce, copy, or repurpose platform content.

11. Liability Disclaimer

EUCCDB.EU facilitates access to candidate information and is not responsible for:

• The accuracy, completeness, or authenticity of documents uploaded by candidates
• Employment outcomes or the conduct of candidates after hiring
• Regulatory compliance of the airline's own hiring processes
• Service interruptions or data unavailability
• Any indirect, consequential, or punitive damages

Airlines bear full responsibility for their own recruitment decisions and compliance with applicable employment and aviation law.

12. Termination

We may suspend or terminate access immediately for breach of these Terms, misuse of candidate data, or regulatory non-compliance. Upon termination, the airline must permanently delete all candidate data held outside the platform within 30 days.

13. Amendments

We may update these Terms with 14 days' written notice by email. Continued use after the effective date constitutes acceptance of the revised Terms.

14. Governing Law

These Terms are governed by the law of the Republic of Poland. Disputes shall be referred to the courts of Poland. Nothing in these Terms limits a party's right to seek urgent interim relief in any competent jurisdiction.
